How Do You Make Outlook Save Files?

Got Windows 7 with Outlook 2010, and I can't seem to make it hang on to emails in Deleted or Sent files. The old Outlook on my XP machine kept all the files until I deleted them manually, but this version just deletes them automatically. I have to BCC myself to keep a record of what I sent.

Actually, I have seen Deleted and Sent folders somewhere (by mistake, I guess--hit the wrong key and it did one of its weird functions), but I can't find them in the folders. If they are in there, I can't find them.

Help! When somebody asks me to re-send a message, I can't find it.

No help there. Neither of these links says anything about SENT and DELETE folders. I have SENT and DELETE folders, but nothing goes into them.

I am still running a >3 year-old version of Outlook on a >3 year-old computer (a Mac, as it happens), on the basis of If It Ain't Broke, Don't Fix It. The problem on your computer is not a problem on mine. However, here are two suggestions. Have you actually tried the Search item on the ribbon? And have you actually looked in the Options/Preferences ribbon/menu items (whatever they are called in your version)?

I think I clicked every button on every menu, looking something, anything that would let me find or define Sent and Deleted folders, or control what goes into them.

under tools select options then click the other tab. Then uncheck "Empty the Deleted Items Folder upon exiting"

I don't seem to have a TOOLS function.

This probably explains why I have never been able to find the functions I need.

Anybody know how to make TOOLS come up on the toolbar?

This is from Outlook 2003; can you find this setting?

The circled option is "Save copy of message in Sent Items folder", make sure that is checked.

Nothing in your deleted folder may indicate another setting problem. I know I have mine set to "Empty deleted folder on exit", so each time I close Outlook, it permanently deletes those emails.

I know the user interface on Office2010 is a lot different, and it's one of the reasons I still prefer to use 2003!

If that function is in Outlook 2010, I can't find it.

Like you, I much prefer Windows XP and Outlook 2003. I never would have changed if I didn't have to.

When you start Outlook you should have along the main tool bar at top Files, Edit, View, Tools and Help at minimum...

If not right click at top where tool bar normally is and pick "Standard", what your looking for should appear...

You are describing what's in Outlook 2003.

Outlook 2010 has File, Home, send/receive, folder, view

And there ain't no Tools in any of them.

What do you find under "File", "Options"? There should be an advanced area too.

P.S. A Google search on Outlook 2010 tools comes up with a bunch of places selling addons to give you back the "classic" menu look, perhaps there's a free version of such tools out there? You'd think that if Microwankers saw that people were so flustered by their "new" interface as to pay for a way to go back, that MS would offer a "classic" view in the tool...........

My Outlook has File, Edit... Tools etc. on the toolbar.

However some of my other apps do not show this menu UNTIL I press the ALT key. This is my Internet Explorer example.

Before pressing ALT...

After pressing ALT...

You now can select "Tools"

Thanks to everybody for their suggestions and links to helpful articles. But only Tom D has been able to help.

Tom D told me to go to File, Options and there--lo and behold--I found the settings that say "save copies of messages in sent items folder." But it was already checked, which means that Outlook is saving them somewhere in a folder that I can't find.

I mentioned that I stumbled across DELETED and SENT folders once by hitting some weird key combination, but haven't been able to find them since. In my current folders list, I have two Sent and two Deleted folders, but neither one of them contain anything. Actually, they do contain a couple of emails from two weeks ago--but nothing since.

So my next question is: How do I make the missing SENT and DELETED folders appear in my folder list?

This is so weird. I have three PCs running Outlook 2010, and two of them work just fine. It's just this brand new one that is screwing me up.

Do you want to find the files or save them??

Let's look for them first, verify that Outlook is indexing your items properly by doing the following:

1. Click on the "Sent Items" folder.
2. Go to "View" --> "Current View" and ensure that the "Messages" is ticked
One more issue could be that the Sent Items folder has a size of "0". This also prevents saving sent items.
You can resolve this by:
1. Right Click on the "Sent Items" folder.
2. Go to "Properties" --> "General" tab and ensure that the "Size" is "NOT 0"

  1. On the Tools menu, point to Instant Search, and then click Indexing Status.

Alternatively, click the arrow in the Instant Search pane, and then click Indexing Status on the menu.

    1. Verify that the number of items in the Indexing Status dialog box has increased. If the number has not increased, you must wait until indexing is complete for the results.

If it still not work, the next step is to rebuild your search catalog. The search catalog is a file where all of your Outlook and Microsoft Windows items are indexed. To rebuild your search catalog, do the following:

    1. Exit Outlook.
    2. In Microsoft Windows, click the Start button, and then click Control Panel, double-click Indexing Options
    3. Click Advanced.
    4. Click Rebuild.
    5. Restart Outlook.

If all of these options don't solve this issue completely, I think you can create a new outlook profile to have a try.

    1. Click Start, point to Settings, and then click Control Panel.
    2. Double-click the Mail icon.
    3. In the Mail Setup dialog box, click Show Profiles.
      If you want to be able to select a specific profile each time you start Outlook, click the General tab, click Prompt for a profile to be used, and then click Add.
    4. In the New Profile dialog box, under Profile Name, type a descriptive name for the new profile, and then click OK.
    5. In the E-mail Accounts dialog box, select Add a new e-mail account in the e-mail options, and then click Next.
    6. Click the type of server that your e-mail account works with, and then click Next.
    7. Complete all of the required fields, including those that are on the tabs that appear after you click More Settings.
    8. When you finish providing the required information, click Finish.

Now let's save files:

Go into Edit accounts > More settings > sent items and tick save to computer.

Reduce Clutter with Outlook 2010's Clean Up Conversation Feature

Outlook's new Conversation Clean Up feature is a great time-saver and space-saver, because it can delete a tidal wave of older messages from a conversation while preserving all the information. It does this by checking whether a later message contains the text of an earlier message. If it does, Outlook deletes the earlier message and retains the only the later one (which contains the text from the earlier one). It's smart enough not to delete message with attachments.
To use this feature, turn on the Conversation view by clicking on the View tab, then add a check next to Show as Conversations. Then, to clean up a conversation or a folder, right-click on the message or folder, choose Clean Up Conversation. A dialog box will open with buttons marked Settings and Clean Up. To use the default settings, click on Clean Up.

Fine Tune Outlook 2010's Clean Up Options

To fine-tune Outlook's Clean Up Conversation feature, select a conversation or folder as described in the previous tip, but instead of choosing the Clean Up button, click on the Settings button to open the relevant section of Outlook's Options dialog. Among other options, you'll find one that lets you specify or create a folder for storing messages deleted by the Clean Up feature until you're certain you want to delete them. If you don't specify a folder, the deleted messages go into the Deleted Items folder. By the way: you can access these options at any time by clicking File, then Options, then Mail.

Bonus undocumented tip: In Word 2003 and earlier, the default template was named Normal.dot (not Normal.dotm as in Word 2007 and 2010). If you ever had Word 2003 or earlier installed on your system, then a copy of Normal.dot will be in your Templates folder; it may have been renamed Normal11.dot by a later Word installation. If so, make a copy of it in the same folder and name the copy Normal.dot (NOT .dotm!). Now, if you delete your Word 2007 or 2010 Normal.dotm, and your Word 2003 (or earlier) Normal.dot is present in the Templates folder, Word will automatically import the customizations and macros from the old Normal.dot file when it re-creates its new Normal.dotm. The newly-created Normal.dotm won't be the clean version of the file created by a fresh installation of Word 2007 or 2010-as it would be if Normal.dot were not present in the same folder-but will include your Word 2003 (or earlier) macros customizations. This is the easiest way to import your Word 2003 (or earlier) macros and customizations into Word 2007 or 2010.

To set up a SENT folder in the pane on the left of the page Right click on the email address and click New Folder in the box presented type in

Name : Sent

Folder Contains: select Mail and Post Items

Select where to save the folder: select the email address you are working in (usually already selected)

Click OK The Sent folder icon now appears in the folders menu at the left of the page

Click New Mail click Options click Save Sent Items to from the menu presented click Other Folder from the menu click the arrowhead of the email address you are working in click the Sent folder and click OK. Sent emails will be automatically saved to the folder.

Thanks, but I don't have any of those functions in my Outlook

Np "tick" for messages

File size is not zero (I found that)

No tools menu

No Instant Search

No Indexing status

No Indexing Options in Control Panel

No Mail icon in control panel

I think I am f*cked.

If not having those functions you have not outlook 2010 and attempting to configure that which you don't have is tough on the BP.........

Uninstall and reinstall; get it all this time.....

It SAYS it's Outlook 2010.

Of course, Best Buy installed it--with them dang cards when I bought the confuser. Took 'em forever, too.

Maybe they screwed it up?
