Instead of recommending any third-party tool here, I would like to share some manual tricks for splitting a large-sized PST file. MS Outlook supports some functions which can be used for splitting an Outlook PST file. You can use either Archive, Import and Export or Move to folders functions. Splitting of a single .pst file into multiple .pst files is done to avoid corruption. There are some manual techniques to break or split a big .pst file into several .pst files. You can implement by using "Import and Export" wizard or by using "Archive" feature.

Large PST file usually slows down the Outlook performance, causes sudden Outlook crash or permanent data loss (due to corruption). Go to the Home screen, open the default PST file and select the items which you want to move to a new PST file you created. For this, click on Move button from the top and select Copy to Folder option. Next, choose the PST file from the copy the selected items to the folder option and click OK.

Step 1: Set Outlook to the archive by Received Date

Received Date button before you start, you must configure Outlook to archive based on the Received date rather than the Modified date. This way, you prevent emails that have been modified or imported after your archive date from remaining in your main pst-file.

The process to do this is described in the previous tip:

Step 2: The Archiving process

Archive.pst button now that Outlook is prepared, you can split your pst-file in the following way:

Open the Archive dialog.

Outlook 2007

File-> Archive…

Outlook 2010 / 2013 / 2016 / 2019 and Microsoft 365

File-> Cleanup Tools-> Archive…

Select: Archive this folder and all subfolders

Click on the top-level folder to select the entire mailbox rather than the currently selected folder.

Set the “Archive items older than:” date to the 1st of January of the year after you want to create your first archive for. So if you want to create your first archive for 2011 and previous, set the date to the 1st of January 2012.

Optionally, check the option: Include items with “Do not AutoArchive” checked.

Specify a name and a location for your pst-file for 2011 and previous. Make sure that this is a location on your local computer and not a network share.

Example: D:\Documents\Outlook Files\2011.pst

Click OK.
