Best Method to Convert OST to EML?

05/22/2026 4:47 AM

Method 1. Using Microsoft Outlook (Manual Method)

The manual method of converting OST to EML using Microsoft Outlook involves accessing mailbox data directly through an active Outlook profile linked to the OST file. Since OST files are synchronized with an email account, Outlook allows users to view and manage stored emails, making it possible to manually extract and convert them.

  • Install and open Outlook
  • Select the emails or folders
  • You want to export
  • Drag the emails to your desktop
  • They will save as.MSG file
  • Convert.MSG to .EML
  • Use the MSG to EML converter tool
  • And Drag into Thunderbird
  • Save as EML

Method 2. When the OST file is offline

When the OST file becomes offline or inaccessible within Microsoft Outlook, it means the file is no longer actively synchronized with its original email server or Outlook profile. This situation commonly occurs due to account removal, server issues, or changes in system configuration.

In such cases, direct access to the mailbox data through Outlook is not possible, making manual export methods ineffective. Therefore, specialized approaches such as using the OST Converter Tool are required to retrieve and convert the data stored in the offline OST files.

If you need to convert an OST file to EML, the easiest method is to use a dedicated converter. Manual methods are limited and typically require Outlook with access to the original account.

The SysTools OST Converter lets you export OST emails to EML while preserving attachments, email formatting, metadata, and folder hierarchy. It supports healthy, orphaned, and inaccessible OST files, as well as bulk conversion for large mailboxes.

The best method to convert an OST file to EML is to use a reliable converter, especially when the mailbox is large or the OST file is no longer accessible in Outlook.

I had to transfer an Outlook mailbox to Thunderbird and realized that the manual procedure was not enough for a full mailbox transfer. Having tried many ways, I used GainTools OST to EML Converter. It helped me to open the OST file, preview the mailbox and choose only the required folders for export without any changes to the original mailbox hierarchy.

When you have years of e-mail in your OST file, or when Outlook no longer works with it, this approach seems much more convenient.

The tricky part with OST to EML is that the manual Outlook method is only really convenient when the OST is still connected to the original account. In the thread, the proposed method also adds an MSG step in between, so for a full mailbox it becomes a bit of a long process.

For an offline or orphaned OST, I would go with a direct converter instead. BitRecover OST Converter is one I would consider because it can open the OST directly and export the emails to EML without depending on the original Outlook profile. You can select the required folders, including subfolders, rather than exporting everything.

The thing I would pay attention to here is the folder hierarchy. If the OST contains years of Inbox, Sent Items, custom folders, etc., you really don't want to rebuild that structure manually after getting the EML files. The converter keeps the hierarchy along with the attachments and email properties, which makes the output much easier to work with.

I’d still export a small folder first and open a few EML files in Thunderbird or whatever client you are moving to. That should give you a quick check that the message body, attachments and folder structure have come across properly.
