Tendering Process Flow Chart

01/25/2008 9:01 AM

Dear Friends,

I am a Mech Engineer but now dealing with costing of tenders, I need to present to the management the process of tendering from document received, contact suppliers, compare suppliers, until submittal,

Is there a defined process flow chart with time frame? which you can explain to a layman?

And latter tender result analysis?

Just draw up the process you actually go through. Think carefully about what you actually do. The great advantage of this, is that you will formalise a system that you already use, are familiar with and are happy to use.

If you use some other plan or chart you will end up with it becoming 'Policy and procedure' which you are supposed to use.

Trust me, if you write the system, you will find the system much better for you.

Of course if your 'superiors' don't like like it, they can change it...
But my guess is they know zilch about the process.

I wrote the software development procedures at my last place, and boy did I find 'em easy to understand and follow... (the BSI auditor ok'd them too)

While I agree with Del, to effectively communicate with management, they have a preferred format, called a Gannt chart:

By all means, follow del's advice to incorporate the steps of your process, but use of the Gannt chart format will buy you certain 'style points' and overcome resistancethat is likely if you make the audience decipher your own personal mind map of the process.
