Maintenance program for inspections

05/09/2008 9:44 PM

I am a Facilities Manager who is responsible for the maintenance of a correctional facility. I am looking to put together a maintenance program for inspections and scheduled maintenance. Does anyone know where I can find a generic sample to work with and tailor to fit my needs?

Do you have rotating equipment that needs maintenance? Do you require electrical systems inspected? Are you trying to cut costs or just trying to keep things running?

This area is rather unique as I have never been a guest in one. ( Knock on wood) I would start by creating a work order system and track what area is causing the most problems and start there. Cost and manpower wise. I would also find out which pieces of equipment are critical to the operations and concentrate my efforts on getting the most hours without an overhaul. Also, find some of the great material out there on "RCM". Some of it may not apply to you, but the ideas behind it is what counts.

See this USN Operational Safety Inspection Manual it may give you the general outline you need to begin one tailored to your plant.

specific manuals for prisons might be locked up as they may be considered of value to someone up to some mischief.

Treating it like a modern office builtding, with high security might be a start as some of those may be online.

You may have the task of maintaining something that is not effective to start with.

My wife and I sometimes make trips to a correctional facility in Oz. Before gaining entry, we have to pass various tests of which one is a drugs swab test. Neither my wife or I have ever touched drugs in our lives but........it turns out that we have touched things that have themselves touched drugs, money, airline seats etc. With readings being returned from the machine of 4.5 (elephants or something) that are virtually off the scale, we get refused entry. Worse still, although prison staff say that this will not go on the prisoners record, we have proof to the contrary. Through no fault of our own, the system unfairly penalises a person that is already in strife!

Albeit the staff have their guidelines, this is a system that sucks and should be improved so that 'background readings' are ignored!

I know that this does not answer the thrust of your question but I thought it vaguely relevant!

Just curious, seems most should be turned away under the conditions you present. Have you wondered what makes so special the things you touch compared others generally?

I'm glad you picked up on my whining!

I would guess that 40% of visitors get turned away (on the third strike). Our problem is that we have to fly interstate for the visits. This, to me, indicates that it is the airline seats that seem to be the problem (as most other visitors live more locally and drive). We have overcome this problem by taking a change of cloths (sealed in plastic bags) to put on before entering the prison.

It was a major hassle the first time (before we clocked on to the problem) as it was a very long wasted journey!

If you google maintenance software you will find plenty of shareware/sample programs that you can try before you buy. The better ones will have a cutdown version of the program that runs on a pda for in field reporting. "Pervidi" is a maintenance program thet has good pda features

Rather than to try to build your own, EMaint is an excellant program for just what you want to do. It will schedule periodic maintence, inventory, purchasing, track repairs, track people and a host of other things as well.
