Backing up Microsoft Outlook

I regularly back up all my documents and folders to an IOmega external hard drive, but I cannot figure out how to back up Microsoft Outlook so I can save my emails, address book, etc. Any suggestions?

Also, is there a good autobackup program that will automatically do the backup for me, say once a week?

To back up emails from Outlook, you can always just copy over your .pst file.

It is probably in a location like:

C:\Documents and Settings\your user name on your machine\Local Settings\Application Data\Microsoft\Outlook\

Have Outlook closed - can't copy it if it is open- and then just grab the file: nameofyourarchivefile.pst and put it anywhere you want.

To restore it, just copy it back into that same directory. Just be careful not to overwrite a newer .pst since it will only have the archived emails at the time you copy it.

If you are using email for work, you are most likely using an Exchange or IMAP account. Exchange and IMAP servers automatically archive your email so that you can access it anytime or anywhere. If you have an Exchange account, check with your admin about how to access your archived email.

If you want to back up the message folders locally (in addition to keeping them on the server), you can automatically move or delete older items with AutoArchive or export the items to a .pst file that you can restore later as needed and use by importing.

  • Select File > Open & Export > Import/Export.
  • Select Export to a file, and then select Next.
  • Select Outlook Data File (.pst), and select Next.
  • Select the mail folder you want to back up and select Next.
  • Choose a location and name for your backup file, and then select Finish.
  • If you want to ensure no one has access to your files, enter and confirm a password, and then select OK.

I use a little power tool free from Microsoft.

It just sits there and once a week backs up your emails and contacts automatically.

I will see if I can find the name of it, or you could just search the microsoft website for 'outlook back up program'?

Use image or Full backup like Norton Ghost.
